Privacy Policy

I'm Kendall, and this is my photography business. This page explains what information I collect through this website, why I have it, and what I do with it. I've tried to write it in plain English rather than legal language, because a policy you can't read isn't much of a policy.

What I collect
When you fill in my contact form, I ask for your name, your email address, a preferred session date, where you heard about me, where you'd like the session, who will be photographed, and anything else you want to tell me. All of it goes straight to my email inbox and is stored in my website account.
When you sign up for my mailing list, I collect your email address.
When you become a client, I also collect the information needed to book and invoice you, including your session details and payment records. I do not see or store your full card number. Payments are handled by my website provider's payment processor.
When you simply visit the site, my website provider records basic technical information: the pages you visited, roughly where in the world you are, what kind of device and browser you used, and which site sent you here. This is aggregate traffic information. It doesn't tell me who you are.
Information about other people, including children
My contact form asks who will be photographed. That means you may tell me the names and ages of other people, usually your own family and often your children.
I want to be straightforward about this, because it matters more in my line of work than most:
- I use that information only to plan and carry out your session.
- I don't sell it, share it, or use it for advertising.
- I keep it with your other booking information and delete it on the same schedule.
- My website is meant for parents and adults booking sessions, not for children. I don't knowingly collect information directly from anyone under 13. If you believe a child has sent me information directly, email me and I'll delete it.
Photographs of you and your family
Photographs are different from data, and they're worth their own section.
I own the copyright in the photographs I take. That's automatic and it's how photography works. Whether I can publish a photograph of you or your children is a separate question, and it's yours to answer, not mine. It's handled in two places:
- My website and portfolio — covered by the agreement you sign with me.
- Social media — a separate yes or no question you answer when you book. It is never assumed. If you say no, your photographs don't go on Instagram or Facebook, and that has no effect on anything else.
If you've changed your mind, email me and I'll take the images down. You don't need to give a reason. Families change, circumstances change, and a child who was happy at nine may feel differently at fourteen. I'd always rather remove a photograph than have it somewhere it isn't wanted.
Email me at hello@kendalldeanmedia.com and I'll remove them from my website, portfolio and social media within seven business days. That applies going forward — once something has been shared or saved by someone else, it's genuinely out of my hands.
What I use your information for
- Answering your enquiry and planning your session
- Booking, scheduling, and invoicing
- Delivering your photographs
- Sending you my newsletter, if you asked for it
- Keeping the records I'm required to keep, such as invoices for tax purposes
I do not sell your information. I do not share it with advertisers. I do not run advertising trackers on this website.
Who else handles your information
I'm a one-person business and I use ordinary tools to run it. These companies process information on my behalf:
- Squarespace hosts this website and handles my contact forms, invoicing and mailing list.
- Squarespace Scheduling (Acuity) handles booking and my client intake form. That form is where you tell me who will be photographed and whether I may share images on social media, so those answers are stored there alongside your appointment.
- Google Workspace provides my email.
- My payment processor handles card payments through my website provider.
- Pixieset hosts and delivers your finished gallery. Your photographs are stored there so you can view, download, and share them, and it's what sends you the email when your gallery is ready.
Each of these has its own privacy policy. I choose tools I'm comfortable with, but I can't control what they do beyond the terms they publish.
I may also have to share information if the law requires it. That's rare and I'd tell you unless I were legally prevented from doing so.
Cookies
This site uses cookies, which are small files your browser stores.
Necessary cookies make the site work: they remember your form entries and keep things functioning as you move between pages.
Analytics cookies let my website provider tell me how many people visited, which pages they looked at, and roughly which country they were in. I see totals, not individuals.
I don't use advertising cookies, retargeting pixels, or third-party trackers. No Facebook pixel, no Google Ads tag, nothing following you around the internet after you leave.
You can block or delete cookies in your browser settings. The site will still work, though some things may be less convenient.
How long I keep things
- Enquiries that don't become bookings: roughly two years, in case you come back
- Client records, including session details and invoices: at least seven years, because tax and business records have to be kept
- Photographs: I keep my own archive of the work I create, as photographers do. Publication is a separate matter, covered above
- Your online gallery: available for 90 days from the day I send it. Please download your images before then. I keep the finished images from every session on my own archive drive indefinitely, so if you come back later and ask, I will almost always still have them
- Mailing list: until you unsubscribe
Your choices
- Unsubscribe from the newsletter using the link at the bottom of every email
- Ask me what I hold about you and I'll tell you
- Ask me to correct something that's wrong
- Ask me to delete your information, and I'll do it unless I'm required to keep it, such as invoices for tax
- Ask me to remove photographs from the website or social media
Email hello@kendalldeanmedia.com for any of these. I'll respond within 30 days, and usually a great deal sooner.
Security
I protect your information with the security built into the services I use, and by keeping my accounts properly secured. No system is perfect and I won't pretend otherwise, but I don't keep anything I don't need, which is the most useful protection there is.
Children
This website is intended for adults booking photography sessions. It isn't directed at children and I don't knowingly collect information from anyone under 13. Information about children reaches me from their parents, as part of booking a session, and is covered above.
Changes
If I change this policy I'll update the date at the top. Material changes will be flagged on the site.
